Built by Officials, For Officials

We built OfficialsBooks to solve one problem: getting officials paid faster through professional, accurate, and prompt invoicing.

We understand you—because we are you.

We haven’t just studied this market. We’ve lived in the locker room, worked the games, and sat through the chapter meetings. We’ve been the chapter officers responsible for creating game paysheets, notifying schools, and tracking down payments for our officials.

We know exactly what it’s like.

The Payment Problem

Schools receive 2-4 separate invoices per game from individual officials. Some handwritten. Some emailed weeks late. Some never sent at all. The result? Officials waiting 30, 60, even 90 days to get paid for games they worked months ago.

We’ve lived that frustration.

The Invoicing Chaos

Every official submitting their own paysheet means nobody knows what’s been billed, what’s been paid, and what’s still outstanding. Chapter treasurers spend hours reconciling payments that don’t match invoices that don’t match games.

We’ve untangled that mess.

The Credibility Gap

When schools receive inconsistent, unprofessional invoices from individual officials, it reflects on the entire chapter. Late invoices mean late payments. Inaccurate invoices mean disputed payments. Missing invoices mean no payments at all.

We’ve felt that embarrassment.

The Missing Piece

Tools like ArbiterSports handle scheduling brilliantly. But when it comes to actually getting your chapter paid? That’s where the wheels fall off.

  • No consolidated invoicing
  • No payment tracking
  • No professional billing

Just a scheduling platform that stops at the finish line when the real work begins.

OfficialsBooks picks up where they leave off.

We built one invoice per venue per date. Schools pay once, you distribute to officials. Professional. Accurate. Prompt. Officials get paid faster because payers actually know what they owe.

The Back-Office Burden

Beyond invoicing, there’s the endless paperwork: W-9 forms from every member, vendor agreements from school districts, expense tracking for taxes. Hours spent on administration instead of improving your craft.

We’ve done that paperwork too—and built tools to make it disappear.

We Work Multiple Sports Too

Like most of you, we don’t just work one sport. Youth leagues, high school varsity, college, even professional—the levels and sports change but the payment headaches don’t.

That’s why we built a system flexible enough to handle the nuances of different leagues, different payers, and different fee structures. One platform that actually fits how officials work.

Built for Speed

Here’s our unfair advantage: we’re not a legacy provider with decades of technical debt. We’re built on modern technology with AI-assisted development.

When you have a pain point, we can ship a fix. When you need a feature, we can build it faster than providers who are still running on code from 2005.

We’re here to solve our shared problems.

Your Voice, Your Roadmap

This isn’t a “take it or leave it” product. We’re launching a Community Suggestion Portal where paid subscribers can propose features and improvements. Your votes directly influence what we build next.

The officials who use OfficialsBooks will shape what OfficialsBooks becomes.

Our Story

OfficialsBooks started in 2025 as a solution for a single TASO chapter in Central Texas. After seeing how much time and stress it saved our own board members, we knew other chapters needed this too.

Now we’re ready to help chapters everywhere eliminate the back-office burden so you can focus on what matters: becoming a better official.
